Job Description

Are you an immediately available, intelligent, Team Assistant with previous experience working in a recruitment company? Do you want to join a dynamic, entrepreneurial specialist legal recruitment company in London? My client is looking for a Team Assistant to work very closely with the Office Manager/EA to ensure the smooth running of the business. The ideal Team Assistant will be someone who has the vision to make this role their own.

Your new company is an award-winning, established, legal recruitment company with plans to grow its team this year. As a Team Assistant, you will have at least 2 years’ experience in a similar role and understand what it takes to be successful. The Team Assistant will be professional and have the ability to multi-task with a good knowledge of the recruitment sector.

Main Responsibilities:

  • Answering and filtering switchboard phone calls
  • Formatting of CVs into house style
  • Uploading CVs to portal websites and managing/setting up portal accounts
  • Database - entering and amending information as and when needed - this includes the creation of candidate and clients on the system, adding meeting and history notes and ensuring the system is up to date.
  • Meeting and greeting candidates and clients
  • Providing all round support to Office Manager/EA as and when required. This may include assisting with PA duties to the Directors
  • Liaising with external providers (IT, phone companies, Troy support)
  • Diary management and compiling internal reports
  • Speaking to candidates and clients to arrange interviews (when required)
  • Providing holiday cover for the consultants and the Office Manager/EA, including filtering of emails and phone calls
  • Assisting the Office Manager/EA in complying with GDPR legislation​
  • Assisting with onboarding of new staff​
  • Compiling monthly expense reports

Person Specification

  • Strong interpersonal skills and the ability to communicate with a diverse range of clients, candidates, internal team members and external service providers in a professional manner
  • A positive and proactive attitude
  • The ability to think quick on their feet and juggle multiple requirements at a time. The ability to multi-task efficiently is essential!
  • Exceptional attention to detail and meticulous written communication with good grammar
  • Very strong skills in Microsoft Word, Excel and Outlook
  • The ability to use initiative and work well under pressure
  • A social, friendly and kind personality
