Job Description

Our client is a fast growth recruitment business based in Central London looking for someone to work closely with the SMT and run their Pay + Bill function. This position will have 1 direct report, but scope to grow the function and the team in sync with company growth. The business operates internationally so multi-currency experience would be desirable. 

Ensuring the smooth operation of the in-house pay and bill systems including payment to contractors and invoicing of suppliers is performed to agreed process standards and time frames. The role will play a key part in the team and work closely with the FC. Process improvement will be an aspect where you can get involved in streamlining systems & processes for the company. 


Weekly payroll

  • Process a weekly payroll for temporary staff
  • Input of new starter details and adjustments to existing freelancers details
  • Input of time sheets and other adjustments as required including P45; P46 and holiday pay
  • Validating output prior to payment of freelancers
  • Reconciliation of weekly payroll and preparation of nominal entries
  • Payroll reconciliations including verifying monthly HMRC payments
  • Preparation and completion of HMRC year end reports
  • Liaise with candidates regarding pay queries 


  • Input adjustments re invoices and credits
  • Generate weekly client invoicing
  • Scanning of invoices and time sheets to clients
  • Upload invoices onto client online portals
  • Export weekly sales invoices via excel
  • Create weekly Purchase Order listing & chase consultants for PO’s
  • Liaise with clients regarding PO / invoice queries
  • Raise permanent & contract invoices 

People Contact

  • Liaising with freelance administrator and consultants in a professional behaviour and manner
  • Liaising with HMRC re tax queries 

Other adhoc duties as required 


  • Minimum 3 years in a similar payroll and/ or billing role
  • An intermediate knowledge of Excel
  • Leadership skills
  • Understanding or Experience of the recruitment sector
  • Client relationship building skills
