Job Description

Finance Assistant

The Accounts Assistant will be responsible for the overall payroll function and the reconciliation of the related balance sheet control accounts and payments. Will oversee the company’s bank accounts and cash management. Will oversee the day-to-day input of the Financial Accounting transactions and functions including Banking, Petty Cash, Credit Cards, Purchase Ledger invoices, Staff expenses, and Staff Travel.  Managing the month-end and year processes, reviewing control accounts and liaising with the internal and external audit team when required. Regular and/or ad hoc reporting requirements.  

Key Responsibilities/ Accountabilities

Managing the following processes:

  • Accounts Payable / Purchase Ledger maintenance
  • Completing weekly bank reconciliations
  • Performing bank revaluation at month-end
  • Reconciling and replenishing petty cash accounts 
  • Updating exchange rates on systems
  • Auditing and paying staff expenses on a weekly basis
  • Posting the journals onto the accounting package and reconciling to the control account
  • Administration of system and day-to-day support for claimants
  • Extraction of travel invoices and usage reports
  • Administration of the system and day-to-day support for travelers
  • Journal adjustments for initial lead cost center
  • Extracting monthly credit card statements uploading for cardholders
  • Auditing, collating and sending claims for payment
  • Posting of journal onto accounting package and reconciling to control account
  • Coding and inputting Purchase Ledger invoices into System
  • Sending invoices for approval and reporting the managers
  • Managing the Aged creditor reports and statement reconciliations
  • Completing weekly payment runs to suppliers
  • Setting up new suppliers
  • Month-end processes, accruals, reconciliation and ledger closures

General Finance Admin as required to assist the Team


Person Specification

  • Proven success in a Financial Accountants or Payroll position  
  • Excellent accounting knowledge with double-entry bookkeeping for all balance sheet accounts
  • Accurate, numerate with good IT skills
  • Excellent attention to detail
  • Team player and a pro-active participant in the finance team
  • Ability to work independently, proactive and self-motivated
  • Experience with dealing with the UK and international suppliers and trading partners 
  • Excellent communication skills, telephone manner, technique, and interpersonal skills
  • Ability to work autonomously
  • An understanding of month-end processes and the associated reconciliations

Education/ Training/ Qualifications


  • Comfortable in the use of Microsoft Outlook, Word and Excel 
  • Good communication skills for inter-department and differing staffing levels
  • Proven record of having the ability to meet daily and weekly deadlines as well as hitting month-end targets
  • Degree in a Finance related subject


  • Studier of Accounting or Payroll Qualification, AAT, CIMA, ACCA or CIPP 



  • Well-rounded general experience and good IT skills 
  • Team-working within a busy office environment
  • Ability to assess potential issues with creditors and how to resolve them
  • Good understanding of the balance sheet and month-end processes 
  • Experience of resolving issues quickly and identifying any business risks, related to the completion of the Financial Accounting Functions


  • Experience in a recruitment company 
  • Experience of working in a multisite and international business
  • Experience of working alongside senior managers and Directors
