Responsibilities as Executive Assistant: 


  • Preparing and sending terms of business
  • Preparing presentations and concept candidates for pitches
  • Preparing proposals
  • Preparing the weekly work in progress document for company Monday morning meetings
  • Ensuring all client facing documents are grammatically correct and formatted to MBS guidelines
  • Assisting researchers with preparing updates and other documents when necessary
  • Typing candidate CVs
  • Inputting CVs and updating the database
  • Processing speculative CVs
  • Setting up client and candidate interviews
  • Maintaining Director’s diary
  • Arranging transportation
  • Covering for the other admin team members over holidays
  • Assisting with overflow of work
  • Ad hoc admin across the company

Search Process: 

  • Point of contact between client and candidate
  • Arranging and confirming candidate interviews
  • Sending candidate profiles
  • Organising conference calls
  • Organising video conference calls and locating sites
  • Organising travel and hotels
  • Being aware of the status of every search and making sure the consultant is aware of any problems
  • Setting up internal ‘kick off and wash up’ meetings
  • Setting up ‘brain storming’ meetings
  • Ensuring Consultant has briefed candidates prior to client interviews
  • Ensuring that Researchers are providing update reports on assignment work
  • Assisting Director and Research team with preparing client update reports
  • Ensuring that candidate expenses are processed quickly
  • Monitoring when invoices are due to be issued and generating and sending to clients
  • Dealing with invoice queries and advising Finance team when to chase late payments


Business Development:

  • Creating new mailing lists for mail-outs and events / checking names/titles/email addresses
  • Sending weekend editions, articles of interest etc., on Director’s behalf
  • Manage the Director’s VIP lists ensuring that they are updated
  • Manage the Director’s placed candidates list, book celebratory dinners/drinks and remind the Director of key milestones (start date, first week, first month, six months etc.)
  • Updating the database with current data on clients and candidates
  • Assisting the Director with their ‘touch point’ strategy
  • Assisting with events planning / invitations / follow ups
